Vivink is a place to think in ink — so what you write should stay yours. This page explains, in plain words, what Vivink keeps, where, and why.

Your notes live on your device

Notes, drawings, slides and recordings are saved in your browser on your own device.

No ads in Vivink, no selling

We never sell your data or show ads in the app. Our website uses the Meta Pixel to measure our ads, and our server tells Meta when a free trial’s first payment goes through.

Payments stay with Razorpay

We never see or store your full card, UPI or bank details.

You stay in control

Export, back up or delete your notes whenever you like.

01Who we are

Vivink is a handwriting studio for notes and teaching that runs in your web browser. In this policy, “Vivink”, “we” and “us” mean the team behind Vivink. You can reach us any time at [email protected].

02What stays on your device

Everything you make in Vivink is saved in your browser, on your own device, the moment you write it:

  • Notes and boards — your ink, slides, photos, videos and attached files.
  • Recordings — saved as a video file on your device. Vivink uploads one only when you send it to your own YouTube channel, straight from your device — see Upload to YouTube.
  • Settings — your pens, paper, toolbar and theme choices.

Reading your handwriting happens on your device. Search and automatic titles read your writing with a reading engine that runs inside your browser. The engine is downloaded once from a public software library; your notes are never sent with it.

Slides from a PDF are made on your device too. The PDF reader is loaded from a public software library (cdn.jsdelivr.net); your file stays with you.

03Camera, microphone and screen

Vivink asks for your camera, microphone or screen only when you use something that needs them, and your browser always asks your permission first:

  • A recording — they are used only for that recording, and the video is saved to your device.
  • Your voice in a session — when you switch it on, your microphone goes live to the students who listen.
  • Asking to speak — a student’s microphone is checked when they ask, and goes live only once their teacher allows them, until their turn ends.
  • Showing a website — your browser asks which tab to share, and only what you pick is shared.

Vivink doesn’t record or keep this sound or video. The only recordings are the ones you make yourself, saved on your device. See Voice and websites in a session. You can turn any permission off at any time in your browser’s settings.

04Sync between your devices

When you use sync, your notes and their files are sent over an encrypted connection to the Vivink sync server, so your other devices can show the same notes. When you delete a note for good, it is removed from the server as well.

Your media library lists the videos, photos and files in your notes, with the names and folders you give them there, and keeps the files you upload straight into it. They are stored like the files in your notes.

Storage. Each account has 10 GB for videos and PDFs; photos, slide pictures and notes don’t count. To keep to it, and to take only photos, videos and PDFs, the server reads each file you send to tell what kind it is: it checks how the file is put together, not what it shows. If the photos in one account pass 10 GB, the Vivink team gets an email with that account’s email address and how much it keeps, so we can help, or check that Vivink is used fairly.

If you invite someone to teach with your notes, the server sends the notes you share to their devices in the same way — see People you invite.

05Live boards and sessions

When you share a board — on a class TV, or with a session link and its QR code — what you write goes live through the Vivink server to the people watching: your ink as you write it, your laser, the part of the page in view, and the note the board shows, with its pictures. They see only that note, never the rest of your notes, and they can’t write on it. Students who follow a session link don’t need an account.

For each board, the Vivink server keeps:

  • Its settings — such as the student limit, whether it asks for names and your questions, whether students can ask to speak, and the session password.
  • The session password — kept as you typed it, so you can read it out again. It’s a short code for one session, not an account password, so never use one you use anywhere else.
  • Past sessions — when a session ends, the board’s name, when it ended, the most who watched at once and the session’s numbers, until you delete that session.
  • Who runs it — the name students see on the board. When someone you invited runs a session on your notes, it’s their name, and the session is marked “Run by” them in your Past sessions.

When you schedule sessions ahead of time, the Vivink server also keeps:

  • Your Schedule — each session’s name, when it is, how long it lasts, whether it’s online or in person, how it repeats, the link students get (a Vivink link made for each session, or one you paste from another platform), how students join it (how many may watch, a password, whether names and your questions are asked, whether they can ask to speak) and the note it opens when you press Start, until you delete or cancel it. Only you see how students join; they meet it when the session starts. Anyone who opens a session’s link before you start it sees its name, when it starts, how long it lasts and your name.
  • Batch calendars — each one’s name, its line for students and which of your sessions are on it. Anyone with its link sees, without an account, your name, the calendar’s name and line, and each session’s name, time, length, kind and link — never anything about your students. When students add it to their own calendar (Google, Apple, Outlook or another), that calendar keeps its own copy of those sessions under its own policy, and keeps it up to date from the link until they remove it. Deleting a batch calendar stops its link.
  • Your reminders — whether you get an email 1 hour before each session (sent to your account’s address through Resend, as our other emails are; on unless you switch it off), the reminder your own calendar gives, and a private, random link to your Schedule as a calendar. Anyone who has that link can read your sessions, so keep it to yourself.

06Voice and websites in a session

Sound and live video in a session go through Cloudflare Realtime, a service that passes them on to everyone listening or watching. They don’t pass through the Vivink server, which only helps the devices connect, and Vivink doesn’t record or keep them. Each device connects to Cloudflare to send or receive them, so Cloudflare receives its IP address, as with any connection, under Cloudflare’s privacy policy.

  • Your voice — when you switch it on for a board, your microphone goes live to those who listen. On a session link with a password, only those who typed it can hear you.
  • Students who ask to speak — only on a session link where you switch it on. A student’s microphone goes live only after you allow them, and only until their turn ends: to you alone, or to everyone if you choose “Everyone”. Classmates see the speaker’s name only while everyone hears them, and nothing of it is kept in Past sessions.
  • Showing a website — the tab you pick is captured by your own browser and sent as live video, with the tab’s sound if you share it, to your students and your class TV. You sign in to the website in its own tab, so Vivink never sees your passwords for it. Everyone watching sees what is in that tab, so close anything private first.

Vivink keeps nothing of a website you show. While it shows, the Vivink server holds only its name, the address you typed and your ink over it, so a student who joins late sees them too; they go when you stop. If you put a picture of it on your page (“Put a picture on the page” or “Keep the last picture”), that picture, with your ink, becomes part of your note like any photo. Your own recordings film the website too, and are saved on your device.

07Your students’ details

A session link can ask students for their name and up to five questions of your own — like a roll number, a section, or a phone number or email. It’s off unless you switch it on, and a class TV is never asked.

You decide what to ask, and why. For these details, you (or your school) choose what is collected, and Vivink keeps it for you and shows it only to you. So:

  • Ask only for what you need. A name and a roll number are often enough. Never ask for passwords, bank details or ID numbers.
  • Have a reason, and say it. You’re responsible for having a good reason to collect what you ask, and for telling your students — or their parents — what you ask for and why.

What Vivink keeps for you:

  • The attendance list — each student’s name and answers, when they joined and left, each visit and the minutes they watched, kept on the Vivink server with that session so you see it in Who’s here and Past sessions on any of your devices.
  • The session’s numbers — worked out from the list: who joined late, left early or came back, and the average time watched.
  • Only you see it. It opens only for your signed-in account — and, for a session someone you invited runs on your notes, for them too, while they can teach with your notes. Vivink never sends a student’s name or answers to other students and never writes them to its logs, and a question about a phone number or an email tells students “Only your teacher sees this.”
  • Kept until you delete the session. Every session stays in Past sessions until you delete it there, and its list goes with it.
  • Save the list makes a spreadsheet file (CSV) on your device, with the names, answers and times. Once saved, that file is yours to look after.

On a student’s phone, Vivink remembers, for each session link, a random id for that phone, the name and answers typed there and a key for the session password (not the password itself), so a reload doesn’t ask again. Clearing the browser’s site data removes them — see our Cookie policy.

08People you invite

From Invite people on Home, or in the menu under your name at the foot of your notes list, you can invite another person to teach with your notes. You choose what they see — all your notes, or only the folders and notes you pick — and what they can do: Can teach or Can view. You can change either, or remove them, at any time.

For each invite, the Vivink server keeps:

  • Who it’s for — the email address you type, and their name once they have an account.
  • What you chose — what they see, what they can do, and the short message you add, if any.
  • Where it stands — invited, accepted or declined, and when it was sent, answered and last changed.
  • The link — only a fingerprint of its code, which can’t be turned back into the link. It works for 7 days, once, and only for the email address it was sent to.

The emails. Vivink emails the person you invite: the invite, with your name and email address, your message, the names of the notes you share and what they can do — and a reminder with a new link if you send it again. When they accept, you get an email with their name and email address. When you change what they see or can do, or remove them, they get an email saying so, unless you switch that off in People. Replies to the emails they get go to you, not to Vivink. Whoever opens an invite’s link sees what its email says, but only that email address can accept it.

What each of you sees. They see your name and email address. You see theirs in People, and whether they accepted or declined.

  • Only what you share — the server sends their devices only the notes and folders you chose, never the rest of your notes, not even their names. A note you move to Recently deleted is no longer shared.
  • A copy on their device — the notes you share are kept in their browser, apart from their own notes, and sync while they have access. A note you stop sharing leaves their device.
  • Can teach lets them write on those notes (it saves to your notes), show them on a TV, run Live sessions, show a website and record to their own device. Can view only lets them read the notes on their own screen. Neither can make, delete, rename, move, share or export your notes.
  • Sessions they run on your notes are yours — the link, the attendance list and the Past sessions record belong to your account, marked “Run by” with their name, and students see their name on the board. While they can teach with your notes, they see the sessions they ran there, with the attendance, and can save the list. Only you can delete those sessions.
  • When you remove them, their access ends at once, and so does any session they are running on your notes. Vivink deletes the copy of your notes on each of their devices that has Vivink open and online at that moment; a device that doesn’t may keep the copy it had, but gets nothing more of your notes. Recordings and lists they saved on their own device stay with them.

If someone invited you, the email address they typed and the invite are kept as above, and they see whether you accepted or declined. You can make your Vivink account from the link — the link confirms your email address, so no other email is needed, and you don’t need a plan — or log in, then accept or decline. Not expecting it? You can ignore it: the link stops working after 7 days. To have an invite taken off the list, ask the person who sent it, or write to [email protected].

09Your account and payments

To buy a plan, you pay first: your account is made only once the payment goes through, and switches on when you open the link we email you. Or you can try Vivink free for 3 days first: you add UPI or a card on Razorpay’s checkout, nothing is paid that day, and the plan you picked starts when the trial ends unless you cancel. To accept an invite to someone’s notes, you make an account from its link. We keep:

  • With email: your name, email address and password. Passwords are stored only in a scrambled (hashed) form that can’t be read back.
  • With Google: your name and email address as Google shares them when you choose “Continue with Google”, and Google’s id for your Google account, so the same Google account always opens the same Vivink account. Google has already confirmed the address, so no confirm email is sent, and an account with that email you made before opens with it. We never receive your Google password, contacts or anything else in your Google account (connecting a YouTube channel is a separate step — see Upload to YouTube). You can also give your account a password with “Forgot password?”.
  • Your plan: which plan you bought and when, each payment’s amount and whether it went through, when your plan renews or ends, and how you paid in short, as Razorpay tells us: the last four digits of a card, part of a UPI ID (like me•••@okhdfc), or the bank’s name.
  • While you pay: what you typed on the sign-up screen (your password only scrambled) or your Google details, and the plan you picked, wait for up to 7 days as a sign-up in progress, so you can pick up where you stopped. Then they are deleted.
  • The free trial: your mobile number (with its country code), which button on our website brought you to the trial, your time zone (so our emails say your trial’s end in your time), when your trial started and ends, the plan that follows it, and how you pay in short, as for a plan (your full card or UPI details stay with Razorpay). We ask for your number to help you get started — the Vivink team may call you or message you on WhatsApp about Vivink — and to give one free trial per number. We don’t check it with a text message. When you start a trial, cancel it, when it becomes a paid plan or its first charge fails, and when one ends without a plan, the Vivink team gets an email with your name, email address and mobile number (and how you pay, in short). If you fill in the trial’s form but don’t add UPI or a card, your details wait 7 days as above, and after 30 minutes the Vivink team gets one email with your name, email address, mobile number and the plan you picked, so we can help you finish. Your number is never shown to your students or to people you invite, and never sold.

Payments are handled by Razorpay. You enter your card, UPI or bank details on Razorpay’s secure checkout, under Razorpay’s privacy policy. We never see your full card number, CVV, UPI PIN or bank password: Razorpay tells us only the short description above. Monthly and Yearly renew through Razorpay (UPI AutoPay, a card or a bank mandate) until you cancel them in Plan & billing.

We use your email to send a link that switches your account on, a link to set a new password when you ask for one, a receipt for each payment, a reminder to complete a payment that didn’t go through (at most once a day, while your details wait), a note if a renewal can’t be charged, a note a day before your free trial ends (with what will be charged, and when), one if its first charge fails, and one when a trial ends without a plan, and important messages about your account — and, if you invite people or are invited, the emails described in People you invite. We don’t send marketing emails unless you ask for them. Each receipt’s link carries its own key, so it opens from the email without signing in: anyone you pass that link to can read that receipt.

Our emails come from [email protected] and are delivered by Resend, an email service, which receives each email’s address, subject and contents to deliver it, under Resend’s privacy policy.

10Upload to YouTube

Upload to YouTube sends a lesson you recorded to your own YouTube channel. It uses YouTube API Services, and it’s off until you connect a channel in Settings → YouTube. What reaches Google and YouTube is handled under the Google Privacy Policy, and what you upload is under the YouTube Terms of Service — see our Terms.

When you connect a channel, Google’s own page asks you to pick the account or channel and to allow “Manage your YouTube videos”: permission to upload videos to it. Vivink asks for nothing else on YouTube — not your videos, comments, subscribers or numbers. The Vivink server keeps, with your account:

  • Google’s permission to upload — the key Google gives for it (a refresh token), kept encrypted, so a copy of our database alone can’t use it. It is never sent to your devices: for each upload, the server gives your device a pass that works for an hour at most.
  • Your channel’s name and picture — as Google shows them for the account or channel you picked, with Google’s id for it, so Vivink can show where your videos go. Vivink never receives your Google password.
  • When — when you connected it, and when Vivink last checked it with Google.

When you upload, the video goes from your device straight to YouTube: it never passes through the Vivink server, which keeps nothing of it. YouTube receives the video; its title, description and tags; who can watch it (Public, Unlisted or Private); its category (Education); and, if you pick one, a thumbnail: a moment Vivink takes from the video on your device, or a picture of your own. Your recording stays on your device as before.

Vivink’s AI writes the words only when you ask it to (“Write title and description”). Then the Vivink server sends Google’s Gemini API:

  • Your answer to “What is this video about?”
  • The note’s name, and up to 1,500 letters of the text Vivink read from your handwriting on that note (read on your device, as for search).

Never the video, its sound or pictures, nor your name, email address or channel. Gemini writes a title, description and tags, which come back to your device for you to change; the Vivink server keeps neither what it sent nor what came back. Google handles it under the Gemini API terms. You can always write them yourself instead (“Write them myself”).

Taking it back, at any time:

  • Disconnect in Settings → YouTube gives the permission back to Google and deletes, at once, everything Vivink kept for that channel. It doesn’t remove videos already on YouTube: to delete those, use YouTube itself.
  • On your Google account — besides Disconnect, you can remove Vivink’s access on Google’s security settings page, security.google.com/settings/security/permissions. Vivink asks Google once a day whether it still has your permission; once it doesn’t, everything it kept for that channel is deleted.
  • Closing your Vivink account deletes it too, within 7 days.

Vivink’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements: it is used only to upload the videos you choose and to show you where they go — never for ads, never sold, never used to train AI models, and never shared except with Google to do what you ask. Questions or complaints about it: write to [email protected].

11Network addresses and limits

Like any website, the Vivink server sees the IP address of each device that connects to it. We use it only to keep Vivink working, safe and fair:

  • Limits on tries. The server counts requests from each address for a short time, so nobody can guess a session password, sign in again and again, send invites again and again, or overload a session. Three wrong session passwords from one phone and address mean a minute’s wait. Because a school’s students often share one address, a session’s limits grow with how many are watching it.
  • Kept in memory only. These counts live only in the server’s memory. They are never saved to its files, and never kept with your notes, attendance lists or Past sessions.
  • A connection log. When a device opens the Vivink app, the server notes its address and the time in its log, which helps when a tablet can’t connect.

12This website

The Vivink app uses no analytics and no advertising. Our website uses one advertising tool — the Meta Pixel — and our server tells Meta of one kind of payment. A few things you should know:

  • Meta Pixel — on our home, features and offer pages, on the sign-up, free trial and log-in pages, and in the app only at the moment a plan’s payment goes through. It tells Meta (Facebook and Instagram) that a page was visited, that a plan was chosen, that a free trial was started, or that a plan was paid for (which plan and the amount, never how you paid), so we can measure our ads and show them to people likely to want Vivink. Meta receives your IP address, your browser and the page you’re on, sets a cookie (_fbp), and may connect this to a Meta account under Meta’s privacy policy. Your notes are never sent. You can control the ads you see in your Meta ad settings, or block third-party cookies in your browser.
  • From our server, once: when a free trial’s first payment goes through at the end of its 3 days (it is charged automatically, so no page of ours is open), our server tells Meta that a plan was paid for: which plan and the amount, with your email address, your mobile number and your account’s id each scrambled (hashed), so Meta can match it to the ad that brought you. Never in plain text, never how you paid, and never your notes. Renewals after it aren’t sent.
  • Fonts are loaded from Google Fonts, so Google receives your IP address, as with any web request.
  • Prices in your currency: the page guesses your country from your device’s time zone — on your device, nothing is sent — and fetches today’s exchange rates from a public rate service. The rate is remembered in your browser for one day.

See our Cookie policy for everything stored in your browser.

13What we never do

  • Sell, rent or trade your personal data.
  • Show ads inside Vivink, or share your notes with anyone you didn’t choose.
  • Read your notes to profile you, or use them to train AI models.

14How long we keep things

Notes on your device stay until you delete them. Deleted notes wait in Recently deleted for 30 days, then are removed for good. Account details are kept while your account is open; payment records are kept as long as the law requires. A sign-up waiting for payment is deleted after 7 days. An account whose free trial ended without a plan is locked, not deleted: your notes are there if you choose a plan, and your mobile number stays with the account while it is open.

A session’s list and numbers stay in Past sessions until you delete that session, and its password until you turn it off, change it or delete the session. Hands raised to speak and a website you show are held only in the server’s memory, and only while the session is live.

An invite stays on the Vivink server until you cancel it, remove the person, or take a declined or expired one off your list in People. Then their email address, name and your choices are deleted; only the fingerprint of its link is kept, for 90 days and with no email address or name, so the link can say why it no longer works. Sessions they ran on your notes stay in your Past sessions, marked with their name, until you delete them.

A connected YouTube channel’s permission, name and picture stay until you disconnect it, take the permission back at Google (Vivink checks once a day), or close your account. Vivink keeps nothing of the videos you upload, nor of what its AI wrote.

15Your choices and rights

You can export any note as a PDF or an image, back up all your notes to one file, and delete notes whenever you like. You can also ask us to show you, correct or delete the personal data we hold about you, or to close your account — write to [email protected] and we’ll help. Depending on where you live, laws such as India’s Digital Personal Data Protection Act, 2023 or the GDPR in Europe give you these rights too.

In People, you see everyone you invited, and can change what they see or can do, or remove them, at any time.

If you joined a teacher’s session, your name and answers are in that session’s attendance list. Ask your teacher if you’d like to see them or have them removed: teachers decide what is kept, and the session can be deleted in Past sessions. You can also write to [email protected].

16Children

Vivink is used in classrooms. If you are under 18, please use Vivink with the permission of a parent, guardian or your school.

Students who follow a session link don’t make an account. If you teach children, ask them for as little as you can — a first name is often enough — and follow your school’s rules and the law where you teach, including when a parent’s permission is needed.

17Keeping your data safe

Vivink is served over an encrypted connection (HTTPS), passwords are stored hashed, and payments go through Razorpay. Your notes are only as safe as your device, so keep it locked and back up your notes from time to time.

Attendance lists and your students’ answers open only for your signed-in account, and for someone you invited, for the sessions they ran on your notes, while they can teach with them. Invite links are random, kept only as fingerprints, and work for 7 days, only for the email address they were sent to. A session link can also ask for a password, and wrong tries are limited — see Network addresses and limits.

18Changes to this policy

If we change this policy, we’ll update the date at the top of this page, and tell you in Vivink or by email when a change matters.
